Quick answer: a rubber stamp prints your company details in ink and is used on everyday documents: invoices, delivery notes, contracts, bank forms and letters. An embossing seal presses a raised, ink-free impression into the paper. It cannot be copied on a scanner or photocopier, so it is used where authenticity matters most: certificates, share certificates, notarised papers and premium letterheads. Many UAE companies use both, often on the same document.
If you are deciding between an embossing seal and a rubber stamp in Dubai, this guide explains how each works, which documents need which, and how to choose the right model for your office.
What is an embossing seal?
An embossing seal, also called an embosser or company seal, is a small press with two matching metal dies. One die is raised and one is recessed. When you squeeze the handle, the paper is pressed between them, and your logo or company name is left as a raised, three-dimensional impression.
There is no ink, so the mark is the same colour as the paper. You see it when light falls across the page, and you can feel it with your fingers.
Why it matters: a raised seal does not show up properly on a photocopy or scan. A copied document shows, at most, a faint shadow, which makes it easy to tell an original from a copy.
What is a rubber stamp?
A rubber stamp carries your design on a rubber or polymer die, which is inked and pressed onto paper. Today most company stamps in the UAE are self-inking stamps with a built-in ink pad, or pre-inked stamps that hold ink inside the rubber.
An ink stamp is fast, clear and readable on any document, and the ink colour (usually blue) makes stamped originals stand out from black-and-white copies. It is the everyday tool of every office in Dubai.
Embossing seal vs rubber stamp: the key differences
How it marks the paper
- Embossing seal: a raised impression, no ink
- Rubber stamp: a printed impression in ink
How easy it is to copy
- Embossing seal: very hard to copy; a photocopy does not reproduce the raised mark
- Rubber stamp: visible on copies and scans, so it is easier to imitate
Speed
- Embossing seal: one press per document, good for smaller volumes
- Rubber stamp: very fast; a self-inking stamp can mark hundreds of documents an hour
Where it works
- Embossing seal: paper and thin card, near the edge or corner of the page
- Rubber stamp: almost any paper, anywhere on the page
Readability
- Embossing seal: subtle and elegant, best seen in angled light
- Rubber stamp: clear and readable at a glance, including on scans
Upkeep
- Embossing seal: no ink, almost no maintenance
- Rubber stamp: needs re-inking or a new ink pad from time to time
When to use an embossing seal
An embossing seal is the better choice when a document must be clearly original:
- Certificates. Training centres, schools, academies and institutes in Dubai emboss course certificates, diplomas and awards. It is one of the most common reasons to order an embosser.
- Share certificates and corporate documents. Companies use an embossed company seal on share certificates and selected board documents.
- Notarised and legal papers. Notaries and law firms use embossers on documents where authenticity matters.
- Premium letterheads and stationery. An embossed logo on letterheads, invitations and envelopes looks refined and feels luxurious.
- Documents sent abroad. Some foreign organisations are used to embossed seals on official documents and look for them.
When to use a rubber stamp
A rubber or self-inking company stamp is the right tool for daily paperwork:
- Invoices, quotations, receipts and delivery notes
- Bank forms, cheques and signature mandates
- Contracts, agreements and official letters
- Salary certificates, NOCs and HR letters
- Received, paid, approved and copy marks (with a date stamp or a multi-phrase stamp)
Because ink stamps show clearly on scans, they also suit documents that will be emailed or uploaded to government and bank portals. An embossed seal would barely be visible there.
Why many UAE companies use both
The two tools do different jobs, so many offices keep both. A common combination on certificates and important letters is:
- The signature of the authorised person
- The rubber company stamp in blue ink, so the company is clearly identified, even on scans
- The embossed seal in a corner, so the original can be verified by touch
This gives you the readability of ink and the security of an embossed mark in one document.
Hand-held or desk embosser?
Hand-held embossers are light and compact. They are easy to carry between offices, events and branches, and they suit occasional use and standard office paper.
Desk embossers sit on the table and use a longer lever, which gives more pressure with less effort. Choose a desk model if you emboss many certificates at once or use thicker card.
Both types use a custom pair of dies made from your design, and the dies can often be swapped if your logo changes.
Designing a custom embossing seal
Embossing works best with designs made for it:
- Bold lines and clear shapes. Very thin lines and tiny text flatten in the paper.
- Simple logos. If your logo is very detailed, we may suggest a simplified version for the seal.
- Round layouts. The classic company seal has the company name around the edge and a logo or emblem in the centre.
- Position. Embossers reach a set distance in from the edge of the page. Plan where the seal will sit, usually the bottom corner of a certificate or letter.

Choosing a rubber stamp for daily use
For the ink stamp, think about volume and detail:
- Self-inking for busy offices: fast, clean and economical.
- Pre-inked for detailed logos and small Arabic text: sharper, with thousands of impressions per filling.
- Round for an official company seal; rectangular for address and department stamps.

How to emboss a certificate neatly, step by step
Training centres, schools and HR teams often emboss dozens of certificates at once. A few habits make every seal look sharp:
- Print first, emboss last. Emboss after printing and signing, so the raised area does not catch in the printer.
- Mark the position. Decide on one spot, usually the bottom right corner or over the edge of a printed seal outline, and keep it the same on every certificate.
- Insert the paper fully into the embosser up to the guide, so the seal sits the same distance from the edge each time.
- Press firmly once. One steady press gives a cleaner result than several light ones.
- Check the paper weight. Standard certificate paper and light card emboss well. Very thick card may need a desk embosser.
- Add a gold seal sticker (optional). Embossing over a gold or silver foil seal sticker makes the raised logo shine, a popular finish for graduation and award certificates.
Tip: run a test on a spare sheet before a big batch, especially with a new paper type.
Caring for your embosser and stamp
- Store the embosser closed or with its lock on, so the dies stay aligned and protected.
- Keep a sheet of paper between the dies when not in use, to avoid dents.
- Keep rubber stamps capped and away from direct sun, and re-ink them before impressions turn pale.
- Keep both in a safe place: they represent your company on official documents.
